Cycle To Work Scheme Admin Fees

Cycle to Work Scheme – Administrative Service Fee

This is a mandatory service fee applied to orders processed via third-party Cycle to Work Scheme providers (including but not limited to Cyclescheme, Halfords Cycle2Work, and Vivup) with the exception of GoGetta which is 0% comission.

Why is this fee applied?Third-party
scheme providers charge retailers a commission of up to 15% to process
your voucher. To maintain our ability to offer competitive pricing and
sale discounts on our e-bikes, we apply this administrative fee to help
offset these external costs.Fee Details:

  • Rate: This fee is typically calculated at 10%–15% of the discounted or sale price of the bicycle.
  • VAT: This service is subject to VAT at the standard rate (20%), which is included in the total quoted price.
  • Voucher Total: Please ensure your Cycle to Work voucher is requested for the total value of the bike plus this administrative fee.

Note:
This fee is a service charge for the administration and processing of
the scheme voucher and is non-refundable once the voucher has been
redeemed and the bike dispatched.

Who owns the bike during the Cycle to Work agreement?

Throughout the hire period, the bike is owned by your employer or the scheme provider. Ownership may be transferred to you once the agreement ends.



How long does a Cycle to Work agreement last?

Repayment periods are usually 12 or 18 months, depending on your employer. Payments are deducted automatically from your salary each month.

Can I choose any bike or brand?

Your choice depends on the Cycle to Work provider your employer uses. At TopDog Bikes, we work with multiple schemes and offer a wide selection of eligible bikes and brands.

How much can I save with the Cycle to Work Scheme?

You can typically save between 30% and 47% on the cost of an eligible bike and accessories. Your exact saving depends on your income tax band, as payments are taken before tax and National Insurance.


Can part-time employees use the Cycle to Work Scheme?

Yes. Part-time staff are eligible as long as they meet the same criteria as full-time employees, including PAYE employment and minimum wage requirements.


What if my bike is stolen or damaged?

You’re responsible for the bike during the agreement, even if it’s stolen or damaged. Payments must continue, so we strongly recommend taking out bike insurance.


How does the Cycle to Work tax saving work?

The cost of your bike is deducted from your gross salary, reducing the amount of Income Tax and National Insurance you pay—this is where the savings come from.



Who is eligible for the Cycle to Work Scheme?

Most employees aged 18 or over, paid through PAYE, and earning above minimum wage after deductions can take part—provided their employer offers the scheme.



What happens if I leave my job before the scheme ends?

If you leave your employer, the remaining balance is usually taken from your final payslip. This repayment is made from your net salary, meaning tax savings won’t apply to the outstanding amount.



Do I have to use the bike only for commuting?

No. While the bike should be used mainly for work journeys (at least 50%), you’re free to use it for leisure, fitness, and personal rides as well.



Can I use the Cycle to Work Scheme more than once?

In many cases, yes. Most employers allow employees to reapply after 12 months, although individual company policies may vary.



an I top up if my bike costs more than the scheme voucher?

No. Under Department for Transport guidelines, personal top-ups aren’t allowed. The total value of the bike and accessories must be covered by the scheme certificate.


How quickly is my Cycle to Work certificate approved?

If you already have a valid certificate, approval is often completed within 24 hours. In some cases, it may take slightly longer depending on the provider.


What happens at the end of the Cycle to Work hire period?

At the end of the agreement, you’ll normally be offered options to extend the hire, return the bike, or take ownership by paying a small final amount—often 3–7% of the bike’s value, or as little as £1 after several years.
